How to Manage Employee Availability
Availability only helps if it's somewhere you actually look while scheduling — not a text someone sent three weeks ago that's since scrolled out of view.
Collect it once, keep it current
Ask each worker for their standing availability and keep it on their profile, rather than asking fresh every week. It only needs updating when something actually changes.
Check it before assigning, not after
The whole value of tracking availability disappears if you assign shifts first and check availability as an afterthought. Make it part of the assignment step itself.
Treat exceptions separately from the pattern
A worker's regular availability and a one-off exception (a single week they can't work their usual hours) are different things — don't overwrite someone's standing availability for a temporary change.
