How to Schedule Part-Time Employees

Part-time teams are harder to schedule than full-time ones — more people, fewer hours each, and more variation in when they can actually work. Here's how to make it manageable.

Collect availability once, not every week

Instead of asking "are you free this week?" over and over, collect each part-timer's standing availability once and keep it on file. It carries forward until they update it, so you're not repeating the same conversation every week.

Watch total hours, not just shift count

A part-time worker's week can look fine shift-by-shift but add up to more (or less) than intended once you total the hours. Check the week as a whole, not just one shift at a time.

Give short notice a real process

Part-time schedules change more often — someone picks up a class, a second job shifts. Have a real process for shift swaps so changes go through the schedule instead of a side conversation you find out about later.

Spread coverage fairly

With more people splitting fewer hours, fairness matters more. A shared weekly calendar makes it easy to see at a glance whether the same one or two people are always getting the good shifts — or the bad ones.
